Capgemini Invent (Belgium) is looking for an organized and proactive Staffing Assistant. In this role, you will be responsible for various key activities related to staffing, resource allocation, and data protection.

THE ROLE
As Staffing Assistant, you will work in close collaboration with the staffing manager, the leadership team, Finance and HR.

The tasks will include the following:

  • Collect and Update Information : Regularly collect and update relevant information in the staffing tool. This includes adding holidays, trainings, and new project details to ensure accurate and uptodate records.
  • Collaborate on Sales Tools : Work closely with Vice Presidents to update and maintain sales tools.
  • Prepare Reports : Generate weekly and monthly reports for various meetings (operational meeting, monthly reviews) providing accurate insights.
  • New Colleague Onboarding : Support the staffing of new colleagues by collecting CVs, coordinating with team leads to identify suitable projects for shadowing, and assisting in the smooth integration of new hires into the company.
  • Resource Planning and Allocation : Collaborate with team leads and managers to support resource planning and allocation efforts. Assist in identifying available resources, matching skills to project requirements, and optimizing resource utilization.
  • Subcontractor Administration : Work in collaboration with the procurement team to manage subcontractor administration tasks. This includes submitting the request, preparing the contract, provide the right information to prepare the first day of the subcontractors).
  • Act as data protection champion : manage regular communication & awareness campaign, work on an ad hoc basis with VPs / Ps / MCs throughout the lifecycle of a project to address data protection & cybersecurity questions or risks, identify the projects bearing risks and involve CISO for risk analysis and to put the mitigation plan in place if required. For this part of the role a specific training will be provided.
WHO ARE WE LOOKING FOR?


You have:

  • Minimum 3 years of experience in an administrative position
  • Degree in Management Assistant or related field is preferred
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with crossfunctional teams.
  • You are proactive and selfmotivated, with the ability to work independently and take initiatives when needed.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines simultaneously.
  • Attention to details and a commitment to producing highquality work.
  • Proficiency in Microsoft Excel
  • Languages: very good knowledge of English. Knowledge of French and/or Dutch is a plus.
