Job role and responsibilities
-
Administrative management of sales and delivery files of new and used cars*
  • Preparation of delivery files: registration, invoicing (on the day of delivery), proof of payment, delivery document (DD), financing contracts (if applicable), delivery report (fleet customer), maintenance contract (if applicable), welcome package, etc.
  • Complete, take care of the administration and filing of files.
  • If necessary, drawing up financing contracts + takeover contracts for signature by the customer.
  • Responsible for delivery planning: coordinating transport, preparation, etc.
  • Managing appointments with clients.
  • Follow up dossiers of new and second hand cars.

Delivery of new vehicles to private persons - vehicle info/required documents

  • Opening an OR (job card) for the preparation of the vehicle before delivery (PDI).
  • Preparing a second number plate if necessary, remove the old number plate from the old vehicle and affix it to the new vehicle.
  • Checking that all accessories ordered by the customer are present on the vehicle.
  • Ensuring the vehicle is ready in the delivery area.
  • Provide the customer with the necessary administrative information concerning his new TOYOTA or LEXUS (invoice, collection of cheque if applicable or signing of the PV for lease customers, delivery document, warranty, maintenance booklet, eurocare, assistance, GDPR document, welcome pack, etc.).
  • Accompanying the customer to the delivery area and ensuring the physical delivery of the vehicle to the customer: explaining the vehicle and its options.
  • Congratulate the customer on his purchase and encourage him to answer the satisfaction survey.
  • Inviting the customer to contact the service if he has any further questions.

Delivery of cars CRP/CY CARS/ cars through OPL

  • Delivery of Cy cars at the site.
  • If needed, carry out a Carcheck of the oyder Cy Car that is end of contract of that will become a poolcar.
  • If needed, carry out a Carcheck of the CRP.
  • Send the Carcheck to the relevant leasing company and TME.
  • Upload delivery documents in renta/ORD

Carrying out the tasks relating to the car park

  • Signalling vehicles to leasing companies for collection
  • Preparing vehicles for collection by transporter.

Education/Experience:


  • Having experience in an administrative function with customer contacts.

Skills required:
