In this role, your primary responsibilities will include:

  • Serving as the friendly and professional first point of contact, representing the face of our office.
  • Maintaining a clean and organized workspace, ensuring adherence to Lightspeed's high standards.
  • Managing office supplies and pantry inventory, as well as processing invoices.
  • Handling the scheduling and coordination of meeting rooms.
  • Planning and executing engaging events and social activities to foster a vibrant office culture.
  • Coordinating various fun initiatives such as birthdays, Friday afternoon drinks, and departmental celebrations.
  • Building and maintaining strong relationships with vendors, identifying the best fit for Lightspeed.
  • Providing local oversight and coordination of property and facilities management, reporting to the Facilities team, assisting with related projects
  • Efficiently reviewing, prioritizing, and redistributing work when necessary.
  • Scheduling regular maintenance to ensure our office remains a topnotch workspace.
  • Assisting with employee travel booking and maintaining the travel management platform.
  • Managing the desk booking platform to optimize office space utilization.
  • Handling incoming and outgoing mail, including shipping and courier services for the team.

To excel in this role, we require the following qualifications:
  • 1-3 years of administration, office coordination, hospitality, or related experience.
  • Fluent proficiency in both written and spoken English and Dutch languages.
  • Excellent time management and organizational skills, with a knack for multitasking and prioritization.
  • Experience and knowledge in delivering exceptional service.
  • It would be nice if you have French language skills.
