We are currently hiring a dynamic Administrative and Project Management Assistant. The new team member will help across all our practices with administrativ and project management tasks.
Taakomschrijving:
Key responsibilities:
- Supporting the management of the company
- Followingup on invoicing
- Preparing financial documents such as invoices and expenses
- Gathering and logging monthly payroll data
- Filing electronic and physical admin documents
- Managing ODS stock of IT supplies
- Contributing to the growth of ODS and being part of internal processes and reflections.
Project management support:
- Setting up project Excel files and adding project information
- Formatting documents and creating templates (Excel, Word, Presentations)
- Assisting in the administration of ongoing projects (organising meetings, supporting the tracking of tasks)
Communications:
- Support of our communications practice by working with our team members to create visualisations in documents, powerpoints and other tools
- Supporting the upkeep of our social media and our own website
Profiel:
- Key requirements
Technical skills:
- Minimum 3 years of working experience in a similar role, experience working in the Belgian regulatory environment a plus
- Full familiarity with Google apps and Microsoft excel, word & powerpoint
- Able to interpret quantitative and qualitative information, ask questions and learn systems quickly
- Comfortable with IT tools and willing to problemsolve
- Ability to work in English, French, (Dutch/Flemish a plus)
- Able to draft and design communications outputs for a general/technical audience; comfortable with basic website management and social media management (and willing to learn more)
- Attention to detail and ability to respect deadlines
- Discretion in handling confidential employee and client information
