The role is based in our office in our headquarters in Brussels but provides support to all our locations.

Some of the key responsibilities are outlined below:
IT Coordination

  • Coordinate IT support across all locations by working closely with our service provider: onboarding/ offboarding of team members, telephone connections, network issues, server access, printer, camera, meeting room connections, network interruption...)
  • Order all IT and mobile equipment and ensure appropriate set up: laptops, smartphones, cables, adapters, docking stations,
  • Manage the company mobile subscriptions
  • Monitor and tracking of individual consumption to ensure compliance with company policy
  • Onboard new starters: needs identification, order and delivery, user management, communication to relevant parties
  • Project coordination: participate in company projects designed to improve our operational efficiency, eg: review and improve our Sharepoint filling system to ensure it fits with the needs of a growing team
  • Support the monitoring of performance of our external IT service provider
  • Organise information sessions on a regular basis to share IT best practices across Team members, in line with business needs.
Expense Management & General assistance

  • Act as the first point of contact to all team members to support their various enquiries.
  • Review all expenses in the Expense management software, ensuring reconciliation with company credits cards transactions
HR Coordination

  • Support the monthly payroll process for Belgian employees to include preparation and submission of variable elements via ProSalary and for all other locations by liaising with the relevant provider.
  • Processing and filing of monthly payroll invoices and payslips for all employees directly into the Company's HRIS
  • Ensure absences/holidays are recorded on the Company's HRIS to ensure appropriate recording in payroll.
  • Manage Lunch vouchers for DRS Belgium and Luxembourg
  • Provide general HR support across locations: support the Belgian team with various HR matters (i.e. correspondence with payroll supplier, coordination of services with Mensura, organizing trainings via Cefora, following up on new labour regulations, etc. ; responsible for the smooth administration of all company provided benefits for all our locations ; organise training sessions based as appropriate

  • A proven experience in similar roles
  • Excellent command of English is required, Dutch and French are an asset

  • Capacity to work under tight deadlines
