Ipsen BeLux is a multiple Great Place To Work award winning organization and looking for a new Business Unit Assistant as the current position holders is moving towards the end of her career.

As a Business Unit Assistant within Ipsen in Belgium, you will play a pivotal role in supporting various facets of our business operations.

You will be an integral part of the Brand Team, providing administrative assistance, coordinating marketing and commercial support activities, and offering vital support to the Sales Team.

Your proactive approach, attention to detail, and strong organizational skills will contribute to the efficient functioning of the business unit and to ensure optimal performance outcomes.


Main responsibilities / job expectations

Business Unit activities

  • Act as a proactive member of the Brand Team, organizing team meetings, and taking minutes when required.
  • Maintain and distribute the Business Unit Meeting Calendar, ensuring all stakeholders are informed of upcoming meetings and deadlines.
  • Undertake administrative tasks including filing and archiving to ensure smooth business operations.

Marketing / Commercial support

  • Assist in organizing and coordinating Health Care Professional (HCP) engagements and event sponsorships, including flight and accommodation bookings, compliance uploads, registrations, and communication with HCPs.
  • Coordinate and assist with HCP/HCO related contracting activities, including approvals, communication, execution, and transparency reporting.
  • Support the organization and coordination of Ipsen's presence at Scientific Meetings, including booking space, obtaining internal compliance approvals, organizing promotional materials, and coordinating registrations and accommodations for team members.

Sales Team support

  • Act as the primary contact and coordinator for Key Account Managers, supporting their daily tasks and managing materials stocks.
  • Collaborate with the Sales Team to ensure smooth communication and troubleshoot any issues that arise.

Reporting / General Admin duties

  • Take an active role in controlling and managing the Business Unit's product budget and invoicing processes.
  • Provide general office administration support, including telephone and reception duties.
  • Undertake small facilities tasks such as ordering groceries or office supplies.
  • Act as a backup for other assistants during their absence, ensuring proper handover and continuity of tasks.

Knowledge, abilities & experience

Education / Certifications:

  • Marketing/Business studies at Associate or Bachelor level
  • Knowledge of local guidelines

Languages:

  • Must be fluent in Dutch, French and English (verbally and written)

Key Technical Competencies Required

  • Previous experience in administrative support roles within the pharmaceutical or healthcare industry preferred.
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Ability to prioritize, work independently and collaboratively in a fastpaced environment.
  • Escalate challenges at time
  • Tender management experience would be a plus
