    Responsibilities / Tasks

    Roles And Responsibilities

    The reception and administration support team at GEA Wommelgem consists of 3 employees in total. This vacancy is for one position in this team. The responsibilities are threefold:

    Management assistance of the Wommelgem management team (all available days) Reception support on Monday and Friday (onsite presence required) Administrative support for laboratory trials (can be allocated only on Tuesday and Thursday to avoid overlap with the reception tasks)

    Management assistance activities include managing the agenda of the senior management team, scheduling meetings and meeting rooms, taking meeting notes, organizing offsite meetings, organizing travel and travel documents, etc.

    Reception tasks include:

  • Managing the general mailbox, post, faxes and telephone calls
  • Managing meeting rooms, lunch, dinners transportation, invitation letters, administrative support and accommodation of visitors
  • Welcoming visitors and acting as the image of the company
  • The team is also taking care of personnel tasks such as setting up internal systems for new employees, organizing employee cards/gifts on special occasions, etc.
  • Creating shipment documents for project shipments
  • GEA Wommelgem has a large testing laboratory that welcomes international customers every week. The role will also require some administrative support in organizing these lab activities:

  • Support in shipment of materials
  • Support in purchasing of lab material
  • Inventory management of the lab material warehouse
  • Your Profile / Qualifications

    Required profile

  • Pro-activeness is key in keeping things under control in this role. We are looking for someone who will take initiative to follow-up on open tasks and who 'sees work'.
  • Strong administrative skills
  • Problem-solving, positive mindset
  • Cultural sensitivity can be helpful as the customer base is international
  • Willingness to be onsite each Monday and Friday (reception) and during vacation days of the reception colleague.
  • Language skills: English and Dutch
