In this varieted role you'll be wearing two hats: Personal Assistant to the HR Director and Academy & Talent Operational Support Officer.

The responsibilities of the PA role include among others:

  • Assisting the Group HR Director with handling and responding to correspondence
  • Scheduling appointments and organizing diary entries
  • Setting reminders for meetings, appointments and other important tasks
  • Making travel and hotel arrangements
  • Planning conferences, workshops, seminars and other events
  • Liaising with other members of staff and external vendors
The responsibilities of the Academy & Talent Operational support role:

  • Practical preparation and organization of learning programmes and events (onsite, online & hybrid): bookings and contact facilitation with venue and accommodation locations, participant administration (travel, food requirements, transport,), operational support (goodies, name tags, certifications),
  • Communicate and interact with Academy participants: send invitations (both mass & individual), support registration and enrolment and launch satisfaction and impact surveys
  • Administrate group mailboxes used for Academy and talent purposes
  • Process academy and talent data in HR systems (Cornerstone on demand)
  • Manage the quarterly 360 leadership scan cycles: gather nominations, followup responses with reminders, generate leadership reports and send to participants and HR departments
  • Schedule weekly academy meetings, monthly talent committees, talent pool conversations and recurring meetings with HR counterparts from the entities

Profile

  • A curious and enthusiastic (HR) professional, not afraid of quite some administrative work
  • Good written and verbal communication ability, towards both internal and external stakeholders
  • Strong presentation / facilitation skills
  • Ability to work autonomously in a fast paced, rapidly changing environment
  • Fluent in both English and another language (French or Dutch)
  • IT literate, with good knowledge of Excel & PowerPoint
  • Good organization and prioritization, while being flexible and stressresistant
  • Efficient and meticulous, with strong administrative skills
  • A first experience in working in a large, international and complex organization is a plus;
