Key Responsibilities for This Role Include:

The Facilities Team Supervisor will focus on supervising the day-to-day operations of our Hoeilaart offices' reception team, managing facilities services and providers, telecom, fleet, and provide general support to the local HR team in payroll & personnel administration.

The Team Supervisor will report to the HR & Facilities Director BeLux.

Fleet & Telecom Management

  • Manage car fleet of +/ 160 company cars and ensure they are used in accordance with Viatris' Global & Local Policies
  • Followup on fleet evolution and trends on the market (ecological alternatives, electrical cars, mobility premium etc.) and use information to optimize and implement new initiatives in local car policy, in cooperation with HR & Facilities Director
  • Initiate and coordinate order process for new cars, pool car rotation, update internal fleet overview database etc.
  • Act as first point of contact for employee questions in cooperation with leasing company
  • Administer telecom (fixed and mobile lines) for all employees (contact with telecom provider, manage employee subscriptions, negotiate contracts with provider, followup on invoicing etc.)
Facilities & Office Management

  • Maintain relationship with facilities vendors, negotiate and process contracts in internal contract management system, followup and approval of facilities invoicing (creation of purchase orders, interaction with payment teams etc.)
  • Define, implement, and monitor all facilities services including, but not limited to reception, cleaning services, maintenance, security, food deliveries, etc.
  • Participate in facilities and office related projects under supervision of HR & Facilities Director
Supervising Reception Team

  • Supervise and coordinate the reception team and backups in the implementation and followup of their daily activities, such as stock & order management, coordination of building maintenance etc.
  • People management (define objectives and targets, coach and develop competencies, organize team and facetoface meetings, lead mid
- and end of year review in performance and compensation process)

Payroll & HR Administration

  • Process monthly payroll for +/ 190 employees and manage additional payroll runs (end of year premium, holiday pay ). This includes preparation and implementation of payroll data following payment deadlines, prepare reconciliations for accounting team, provide requested information and reporting to accounting team etc.
  • Provide support on payroll & personnel related administration (insurance affiliations, RVA/ONEM requests, holiday calculation etc.)
  • First point of contact for employees with regards to salary related questions.
  • Communicate with various stakeholders (payroll provider, insurance companies, other benefit partners etc.) on all matters relating to payroll
Qualifications and knowledge

  • Bachelor's degree
  • First experience Facilities & Fleet management
  • Basic knowledge of local Labor Law & Payroll processing is a plus
  • Working knowledge of Microsoft Office including Word, Excel, Outlook and PowerPoint
  • Professional knowledge of French and Dutch, good working knowledge of English
  • First experience in People Management is a plus
