About the NATO Communications and Information Agency (NCI Agency) project
The NATO Communications and Information Agency (NCI Agency) is the provider of NATO-wide IT services and state-of-the-art Command, Control, Communications, Computers, Intelligence, Surveillance, and Reconnaissance (C4ISR) Capabilities, helping NATO and its member countries communicate, and work together to fulfil their mission - preserve peace and security for nearly one billion citizens.
Their experts provide capabilities and services that are critical to NATO's ability to fulfil its core tasks of consultation, collective defence and crisis management.
They achieve this by working in partnership with industry, academia and not-for-profit (NFP) organizations.NATO Edge flagship event - 2,5-day onsite event, will happen in Q The exact venue and date will be communicated shortly. The event requires a high level of administrative support as defined in the specific mission below.
Specific mission:
- Financial support for the project: managing participant and exhibitor payments, monitoring accounts, followup and collection of any requested proof of payments
- Insurance monitoring and ensuring that the project implementation complies with legal insurance provisions
- Daily tracking of the operational budget: staff hours followup, updates the budget monitoring tool (Team Leader Orbit), purchase order followup
- Monitoring legal obligations of the project: point of contact with the lawyer specializing in U.S. rights, verification of onsite employment contracts, especially for hostesses
- Monitoring contracts with suppliers (US and EU suppliers)
- Organization and oversight of staff travel for the event (USA): ESTA, background checks, specific documentation, VISA
- Support the team for the reporting of the project
Essential skills and knowledge:
- At least a Bachelor degree in a relevant field (e.g. Business, Finance, Project Management, etc.)
- Good command of Excel (pivot table, formulas)
- Previous experience in budget management is mandatory
- Previous experience and legal knowledge in the USA are a strong asset
- Professional proficiency in English (at least C1) is mandatory
- High attention to details
