JOB SUMMARY:


The Back-office Coordinator is a key contributor to the Order to Delivery process, collaborating with sales representatives, Operations and Logistics to ensure timely and accurate delivery of machines.

This role is responsible for coordinating all internal back-office related processes and projects, pro-active preventing issues, solving system exceptions and continuously improve the Order to Delivery sales and back-office processes.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
These duties are not meant to be all-inclusive and other duties may be assigned.

  • Collaborate and resolve 'machine sales' related issues with a crossdepartmental focus: act as a key point of contact to partner with the Sales & Order to Delivery teams, to ensure correct order followup from order receiving until timely delivery and invoicing.
  • Prevent, resolve, and escalate issues if necessary: analyze order book entries, proactively follow up on system issues and work on continuous improving the Order to Delivery process.
  • Participate in Order to Deliver Continuous Improvement projects.
  • Partner with Finance to resolve invoice issues, partner with Product management for system
- alignment, translate customer demands to Operations and optimize shipments in line with customer expectations.

  • Contributing to an overall positive customer experience and as such preventing financial risks (monthly revenue loss, customer claims, penalties).
  • Collaborate with finance to understand funding schemes, credits, or rebates which apply.
  • Provide overall support to the Back-Office Manager.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or equivalent experience in front/backoffice environment (3 or more years of relevant experience).
  • Fluent in Dutch and English.
  • Analytical background.

PREFERRED QUALIFICATIONS:

  • Experience in Sales within a manufacturing industry.
  • Advanced skills in Microsoft Excel.
  • Ability to work independently and within a team structured environment.
