ILSI Europe is the European Branch of the International Life Sciences Institute (ILSI), a global, non-profit federation.

Our mission is to convene the best scientists from academia, industry & public sector to deliver, communicate and disseminate science-based solutions.

These solutions ensure that foods are safe, nutritious and sustainable. The ILSI Europe portfolio consists of projects initiated and supported by Task forces, and of EU funded projects. ILSI Europe activities are coordinated by a staff of 11.

Location

ILSI Europe is located in Brussels and the role is expected to be fulfilled mainly in its office.

Mission

He/she/they supports administratively in HR, office matters. He/she/they supports the team in its mission and to achieve the agreed objectives. The HROA ensures that the works meets the quality expectations.

Reporting & supervisory relationships

  • Reports and supervises by Executive Director (ED)

Responsibilities:


  • Human resources
  • Relation with social secretariat (salaries, leave requests, meal vouchers orders, drafting contracts, wellbeing at work policies etc.);
  • Support the administration of new contracts for employees, consultants, and interns, and ensure the efficient and timely management of ongoing contracts,
  • Support the Recruitment & Selection process
  • Monitor changes in Belgian legislation (e.g. salary indexation, workers' protection, etc.), provide relevant updates, implement necessary changes and requests by Belgian authorities in Working guidelines and/or HR policies
  • Deal with employee requests regarding human resources issues, rules, and regulations
  • Organize internal staff meetings
  • Ensure compliance with regulations and internal policies (eg collecting conflict of interest from experts)
  • Building and maintaining positive relationships with members, staff, and the governance bodies.
  • Administration
  • Provide logístical support for the organisation's internal (Board, GA, other committees) and minutes taker
  • Assist in developing and implementing plans and goals for the organisation and support the ED to coordinate and supervise daily operations
  • Interact directly with office suppliers as focal point
  • Provide IT support to the team when necessary
  • Ensure compliance with regulations and internal policies (eg collecting conflict of interest from experts)
  • Building and maintaining positive relationships with members, staff, and the governance bodies.
The job description gives a general outline of the main tasks and responsibilities and is not exhaustive. As multi-task position, it includes the possibility to contribute to other ad-hoc projects and support your teammates as necessary.

Experience and skills required

  • Minimum 1 year of relevant experience in a similar position, ideally in a multicultural, NGO environment, as well as in project management
  • Sound knowledge of Belgian employment policies and laws
  • Good literacy/numeracy skills & good IT skills (Microsoft 365, etc.)
  • Ability to manage priorities, to deliver a wide range of tasks and to work in a fastpaced environment and be adaptive;
  • Strong organizational and multitasking skills
  • Strong team and constructive spirit, eager to contribute to common objectives.
  • Ability to work to deadlines and followup on tasks comfortable in setting and sticking to own deadlines and responding to others'
  • Ability to work independently and propose new actions when appropriate
  • Ability to work with staff at all levels and from diverse backgrounds
Conditions

  • Contract 1 year (12 months), extension intended;
  • Degree: Office administration and management degree or equivalent work experience that covers the tasks outlined above;
  • Place of work: ILSI Europe office, Brussels, Belgium;
  • Workings hours: 20 h/week,
  • Working language: English and French is a must;
  • Applicants must live already in Belgium and hold EU citizenship or valid EU residence permit.

Part-time hours: 20 per week

€1, €1,200.00 per month
