AISBL Office Support (Maternity leave cover)

Duration:6 months (from July to December 2023)


Working time:19 hours per week

We are seeking an Office and project administrator to provide support to the daily operations of the Association. This part-time role is based at EuroFIR's Offices in Brussels (BE), with the potential to work from home up.


Description of the role

1. Office support (80%)

  • Main contact point of the Association
  • Ensuring office supplies are maintained appropriately (e.g., stationery and equipment) and liaise with EuroFIR general suppliers (bank, social secretary, insurance broker etc.)
  • Health & Safety policies are uptodate, and staff are aware of their responsibilities
(Health Prevention Officer)

  • Maintaining accurate records for staff effort including holiday and sick leave
  • Taking minutes of EB meetings and prepare any meeting documents when necessary in collaboration with the Secretary to the Association and Managing Director
  • Support for the recruitment and onboarding of new staff
  • Liaise with Finances Officer to process invoices, payments, and expenses.

2. Provide support for staff and Directors (10%)

  • Arrange and book travel for project meetings when necessary
  • Book and organise Executive Board meetings (online) or any other meeting taking place in Brussels (Belgium).

3. Provide support for the management of EU-funded projects (10%)

  • Provide administrative support to staff and Directors for the management of EUfunded projects;
  • Support for the delivery of FNS-Cloud final event September 2023);

  • Support to the Finances Officer for the submission of the final financial reporting of FNS
  • Cloud, including the audit certification.

Key competencies and interpersonal skills:


  • Excellent knowledge of Microsoft Office (Outlook, Word, Excel and Powerpoint)
  • Good written and verbal English communication skills and excellent working knowledge of French (written and oral); any other Member State languages would be a plus
  • Ability to work independently and as part of a team
  • Approachable and friendly but confident in dealing with clients
  • Flexible and able to solve problems/ offer solutions
  • Ability to organize, plan, and prioritize work, and meet competing deadlines
  • Attention to detail

Required education and experience:

Administrator / Personal Assistant / Secretary

  • Knowledge of basic principles of finances and accountancy is necessary
  • Experience working in an ASBL or AISBL is a requirement
