TAXUD B2 is requesting an IT Project Management service to support the planning, coordination, and reporting on the realization of an EU Customs Data Hub prototype.

Project Management for the realization of the EU Customs Data Hub prototype. Coordination of the project teams and supervising the subcontractors' project team.

I

Project Initiation:
a) Consolidate project objectives, scope, and deliverables.

b) Coordinate key stakeholders and providers involved in the project.

c) Maintain a project management plan outlining project goals, timelines, resources, and communication strategies.

Stakeholder Management:
d) Help identify and analyze the needs and expectations of stakeholders and document them.

e) Establish effective communication channels with stakeholders to ensure their input is considered.

f) Regularly engage stakeholders to provide updates, address concerns, and manage expectations.

Provider Management:
g) Ensure clarity on roles, responsibilities, and expectations for each provider in the day-to-day activities.

h) Coordinate and supervise providers' activities

i) Monitor provider performance, ensuring adherence to project milestones, quality standards, and contractual obligations.

j) Resolve conflicts or issues arising between different providers and facilitate collaboration.

Project Planning and Execution:
k) Develop a comprehensive project plan, including a detailed schedule, resource allocation, and risk management strategy.

l) Coordinate activities and dependencies between stakeholders and providers to ensure seamless integration and progress.

m) Stablish and manage a project KANBAN board or equivalent.

n) Monitor project progress, identify and mitigate risks, and implement contingency plans as necessary.

o) Conduct regular project meetings, providing status updates, resolving issues, and capturing lessons learned.

Communication and Reporting:
p) Establish effective communication channels among stakeholders and providers.

q) Regularly communicate project status, achievements, and challenges to all relevant parties.

r) Prepare and distribute progress reports, highlighting key milestones, risks, and mitigation strategies.

s) Facilitate collaborative decision-making processes and ensure timely resolution of issues.
