supporting the Director.

supporting the Director.


This position offers an exciting opportunity to work in a stimulating environment and contribute to making a positive impact on the industry.

The responsibilities for this position as an Executive Assistant include:

  • Day-to-day management of the Director's diary and meeting schedule;
  • Provision of overall administrative support (travel arrangements, expense reports, drafting of correspondence,);
  • Organisation of Board meetings, attendance management for these meetings, follow up on changes;
  • Ensure functioning is compliant with the statutes and its internal rules;
  • Development of strong membership management, including developing an indepth
- understanding of the members and their key interests, maintaining the
- members' database, keeping up to date records, and filing of documents in line with internal
- procedure;

  • Administrative coordination of projects and activities with internal and external stakeholders,
- including meetings/events logistics,;

  • Drafting of professional presentations for meetings, collecting project information and input,
- and producing background notes on specific topics as needed;

  • Participation to internal and external meetings.
The required qualifications for this position as an Executive Assistant are:

  • You obtained a Bachelor Degree and have at least 4 years of experience, ideally acquired in an international organization;
- you have excellent knowledge of English and very good knowledge of French and Dutch;

  • Your MS Office skills (Microsoft Outlook, Word, Excel and Powerpoint) and knowledge online meeting tools are advanced;
  • You have strong organisational skills, and the ability to manage own time and work to deadlines;
  • You pay high attention to details, procedures and focus on quality;
- you have strong written communications skills with experience in note taking and minute writing.

  • You have experience in organizing meetings/events.
  • You have strong people and relationship building skills.
  • You are a real team player who can work both independently and as part of a team as required.
