As the Sample Handling Manager you are responsible for the general operational management of the Sample Handling Department.
In this role you have 3 direct reports and up to 30 indirect reports.

This role is based out of our headquarters in Ghent.

Responsibilities:

Manage the daily sample handling activities to ensure performance according to applicable procedures and laboratory specifications and adherence to internal service level commitments.
Ensure that all sample types are processed and efficiently stored or transferred according to the laboratory specifications and all applicable SOPs.
Ensure that all outbound shipment requests are executed according to the laboratory specifications, applicable SOPs, and project management requested timelines.

Freezer Management

Perform all activities related to maintaining freezer operating standards
Review daily and future workload requirements to determine daily resource needs
Create schedules and communicate assignments among all involved parties
Execute a system to record and evaluate performance metrics within the sample handling department.
Department owner for customer complaint/incident and CAPA Management system: Serve as main contact to QA and internal customers for issue resolution; Track and resolve incidents in a timely manner; Perform root cause analysis and CAPA implementation
Handles and resolves day to day escalations and service issues
Responsible for overall department quality. Keeps department "audit ready"
Department representative and spokesperson for quality audits
Collaborate with global peers to ensure consistency in department activities and adherence to global standards.
Installs a culture of continuous improvement, quality and productivity, proposes innovative ideas
Serve as Subject Matter Expert for inquiries from Business Development, Project Management or other internal departments,
Lead and motivate the team, set clear goals and objectives, develop supporting staff skills, and encourage growth while providing regular performance feedback.
Ensure an appropriate training program for the employees in the sample handling department
Notify manager and other appropriate leadership of any major problems within the department.
Master's degree
Strong knowledge in clinical trials.
Excellent communication and people management skills
Experience in leading operational teams.
Executive ability
Flexible in dealing with problems
Affinity for quality
Fluent in Dutch (BARC NV) and English.
