The purpose of this role is take part in the EMEA Marketing team, supporting activities that drive the penetration of Biosense Webster products and technologies in the AFIB and EP markets in EMEA.


Responsibilities:

BWI EMEA Marketing Coordinator

  • Own and structure the Forecasting & Re-Forecasting Budget Process
  • Define templates and coordinate with agency if applicable
  • Collect, consolidate, update forecast files
  • Do all forecastrelated communication
  • Align all stakeholders on process
  • Corporate Announcements
  • Responsible to distribute and craft corporate announcements and scorecards for business in conjunction with corporate communications manager
  • Organize team meetings, i.e. LT, Extended LT and Team Meetings
  • Send invites
  • Draft agenda & collect topics
  • Write minutes
  • Responsible for followup items and driving accountability
  • General Governance for the team
  • EMarketPlace/Ariba/Cornersone/SAP
- open PO with correct allocation of project number
- communication and follow up with stakeholders and suppliers (Maintain effective queue management for cases that are escalated to second-tier support, monitor process, and expedite as necessary, Coordinate with Finance Associate, etc)
- follow up with internal departments/ external suppliers and update various supplier info in the systems

  • Projectrelated PO and track projectrelated budgets
  • Keep the finance partner & overall team informed on all PO updates by doing regular finance checks and alert Manager if changes are required
  • Provide DLs and keep them updated
  • Support the team on requests (e.g. purchasing, communications, agency support, etc)
  • Update BWI SharePoint & Teams channel
  • EMEA BWI Calendar
  • Creation
  • Collect course details, consolidate, update
  • Regular updates on all relevant channels, e.g. SharePoint, Yammer
  • Copy approval follow up and tracking
  • Admin for Commerical Director, Marketing Director and/or the BWI Business Lead (Leadership team of BWI)

  • Support the larger BWI Community
  • Work closely with key stakeholders to help drive smooth administrative processes
  • Help facilitate training sessions for internal users (HCC, business process changes, workshops etc., )
- stepping in as backup, in several occasions, to other business or prof ed in either Finance or Procurement /coordinating activities that were essential for Business daily.
- be the point of contact in Diegem for all BW related topics
- point of escalation for issues related to business, assist in identifying root causes and corrective action resolutions, maintain effective management for cases that are escalated to second-tier support,

  • Identify stakeholders within each department to act as expert, providing assistance to peers and input to overall process, monitor process and expedite as necessary, act with urgency but stay committed to Quality and compliant
- support in Onboarding of new team members

  • Support organization of RO internal meetings and activities in coordination with managers and colleagues, meeting room, catering, AV, team building activities supplier payments coordination
  • Support for Symposia such as European Heart Rhythm, AFIB as well as potential local congresses.
EHRA/AFIB Tech Suite & other activities
- contracting hotel, room allocation, internal communications regarding logistics, dinner, lunch, breakfast with HCP onsite
- coordination: reservations, transfer arrangements, info communications among stakeholders

PO/payment( accomodation, services, etc) execution Techsuite
- coordinating pre and onsite registration, facilitating communication between stakeholders, suppliers service payment related activities, support online and onsite with organization and execution Shipments and other admin


Qualifications:


  • Preference for 5 year+ of experience in events coordination, administrative support, or other relevant field
  • Great organizational and project lead skills
  • Team player working with multiple stakeholders, senior and junior
  • Ability to work independently and be resourceful
  • Great communication skills and extensive experience with Microsoft Word, PPT, Excel, and Outlook (office suite products)
  • Prior experience within healthcare a plus
