Description

  • Manage Executive Director's electronic diary, assessing priority of appointments and reallocation as necessary.
  • Manage Executive Director's travel arrangements (including visas/accommodation).
  • Process Executive Director's correspondence, ensuring that incoming correspondence is dealt with by the Executive Director/or on behalf of the Director, or other staff as appropriate.
  • Organise meetings and ensure that Executive Director is well prepared for those meetings, preparing agendas, premeeting briefings and meeting papers.
  • Screen calls, enquiries and requests, and deal with them when appropriate.
  • Produce documents, briefing papers, reports and presentations for the Director.
  • Assist Executive Director in researching and following up with action on matters which fall within the Executive Director's responsibility chasing responses, triggering followup action.
  • Maintain Executive Director's office systems, including data management and filing.
  • Maintain records of Executive Director's contacts.
  • Manage arrangements for Board and annual general assembly meetings, including production/distribution of agenda and papers.
  • Assist/support Executive Director, in arranging funding partner and other events.
  • Meet and greet visitors at all levels of seniority.
  • Any other duties as may reasonably be required by the Executive Director.

Profile

  • Educated to degree level or equivalent.
  • Experienced Personal Assistant at senior management level.
  • Experience within EU institutions and related organizations in Brussels
  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the University.
  • Ability to organise and plan own work.
  • Knowledge or interest in EU Transport Policy
  • Experience of electronic diary management.
  • Excellent attention to detail, with the ability to maintain a high level of accuracy.
  • A flexible, proactive approach to work including the ability to prioritise and reprioritise.
  • Ability to work on own initiative.
  • Ability to deal with sensitive information with discretion and to maintain confidentiality.
  • Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint.
  • Great knowledge of English and Dutch.
