Our client is active in the
chemical sector.

The responsibilities for this function as a
Meeting & Event Coordinator are:

  • You manage setup and execution of events in EPCA Reservation system/coordination with external agency in close cooperation with M&E Manager
  • You manage hotel bed
- and meeting room allotments in line with cut-off dates and demand

  • You allocate meeting rooms and meeting tables (equal to exhibition stands) based on historic data and customer requirements
  • You provide support by phone and mail to member companies before, during and after the event
  • You coordinate sponsor activities related to Annual Meeting and other sponsorship opportunities in close cooperation with M&E Manager and Marketing & Digital Communications Manager
  • You arrange speakers' travel & hotel arrangements
  • You update session management in close coordination with M&E Manager and Marketing & Digital Communications Manager
  • You prepare and consolidate internal event documentation
  • You ensure good data standards are kept in EPCA registration
- & membership systems

  • You manage hotel
- and transportation bookings for EPCA staff attending at events

  • You support in organising EPCA Board
- / Executive Meetings if arranged in-person including hotel arrangements, local transportation, F&B arrangements.

  • You participate in answering incoming calls.
  • You coordinate OGM, Board and Executive Committee minutes formalisation with Board members
  • You coordinate the billing process related to the Membership fees.
  • You coordinate membership cancellations
  • You ensure that the members' information in the database is uptodate and accurate.

The required qualifications for the position as a
Meeting & Event Coordinator are:

  • You have 1-3 years of relevant experience in organization and delivery of physical and online event projects (conferences, meetings, webinars, seminars) with networking and conference activities.
  • You have a fluent command of English, French or Dutch, 3rdlanguage is considered as an asset.
  • You are highly organized and give attention to detail
  • You have good project and time management skills (good at prioritizing and handling challenging deadlines)
  • You have problemsolving skills and diplomacy
  • You are flexible, targetdriven and proactive
  • You have selfmotivation and enthusiasm
  • You hold a Master in events, tourism, business administration or relevant field.
  • A previous experience in hotel or event agency is considered an asset
