About us:
Transparency International Belgium (VZW) is based in Brussels and is the Belgian chapter of the organization Transparency International. Transparency International (TI) is the global organization leading the fight against corruption.

Working with more than 100 chapters worldwide and an international secretariat in Berlin, Germany, TI raises awareness of the harmful effects of corruption and works with partners in government, business and civil society to develop and implement effective measures to address corruption.


Your responsibilities:
The Administrative Coordinator plays a vital role in supporting the efficient functioning of TI Belgium.

This part-time position, requiring availability 12 hours a week, is responsible for providing administrative and organisational support to ensure smooth day-to-day operations.


  • Reaccreditation preparation:
  • The main administrative task will be in helping T.I. Belgium / T.I.Secretariat with the paperwork needed for the reaccreditation due in 2025. This involves collecting, preparing various documents in collaboration with our accountant, Board members and communication officer.
  • Coworking space management:
  • For 1 days a week be present in the coworking space and welcoming to adhoc staff members who may be present;
  • Manage bookings for rooms and meetings.
  • Communication and Correspondence:
  • Draft, proofread, and edit correspondence, reports, and other documents.
  • Meeting Coordination:
  • Schedule and organize meetings, conferences, and events;
  • Prepare meeting agendas, take minutes, and distribute relevant materials;
  • Coordinate logistics for virtual or inperson meetings.
  • Database Management:
  • Maintain and update donor, volunteer, and stakeholder databases;
  • Maintain lists of access codes and passwords for related online tools such as Teams;
  • Website, Social Media.
  • Financial Support:
  • Assist in basic financial tasks, such as tracking expenses and invoices;
  • Work closely with the Executive Director and Accountant to ensure accurate recordkeeping;
  • Managing monthly budgets and coordinating with the accountant in order to prepare and deliver monthly/quarterly budget reports.
  • Support for Programs and Events:
  • Assist in the coordination of programs and events;
  • Collaborate with team members to ensure successful execution.
  • Board Member and Member Support:
  • Maintain records of board members and track volunteer hours.
  • General Administrative Support:
  • Perform general administrative tasks, including filing, copying, and scanning;
  • Other duties as assigned by the executive team.

Qualifications:
Proven experience in administrative roles; Strong organizational and multitasking abilities; Excellent communication and interpersonal skills; Proficient in Microsoft Office, Teams and basic knowledge of office equipment; Detail-oriented and able to work independently; Passion for the mission and values of Transparency International (Belgium);
You are fluent in English.

About the knowledge of the national language in Belgium (French / Dutch) we ask that you can use either of them functionally.


Working Conditions:
This is a part-time position, with a commitment of 12 hours per week.
Flexible working hours may be required to accommodate events and meetings.
The position may involve occasional evening work.
