Key Responsibilities for This Role Include:

As Marketing Project Coordinator, you are an important part of the Marketing Team, supporting several Product Managers and leading Meeting and Events projects.

You are responsible to ensure that projects concerning new products or marketing materials are completed in time. You are primarily responsible for a wide variety of administrative tasks related to these projects.


Administrative support- Manage promotion materials such as visuals, product sheets, and gadgets, including coordination of delivery timelines and timely distribution, and price comparisons and negotiations with providers.- Support Product Managers and other departments by providing translations of presentations, texts, and mailings.- Manage contracts related to promotional events and material purchases, maintaining accurate records in the contract registration system.- Oversee invoice processing and purchase orders within the Marketing Budget framework.- Liaise with internal stakeholders (Field Force) and external contacts (doctors, pharmacists, suppliers) to address requests and inquiries promptly.


Meeting and Events- Coordinate all internal and external meetings (cycle meetings, congresses, webinars, etc.) and events for Belgium, adhering to company policies and SOPs.- Conduct supplier selection and venue management in a cost-effective manner.- Train staff on global M&E SOPs and processes to ensure compliance.- Act as a point of contact during M&E inspections or audits by authorities.- Monitor and report on local meeting and event activities, focusing on timely and accurate execution.


The minimum qualifications for this role are:

  • Bachelor's degree in Marketing, Communications, Translation or related fields
  • Min. 2 years successful experience as project coordinator or a similar administrative role
  • Excellent written and oral skills NL/FR/EN
  • Strong administrative skills -
  • Experience with Meetings & Events organisation
  • Experience in the healthcare industry is highly recommended.
