SCOPE


Hermès Benelux-Nordics is a subsidiary of Hermès International in charge of the distribution of Hermès products in Benelux and Scandinavia.


The network consists of 8 stores (Brussels, Knokke, Amsterdam P.C Hooftstraat, Amsterdam Bijenkorf, Copenhagen, Stockholm and Oslo) and a concessionaire (Luxembourg) as well as a regional headquarters located in Brussels.

The region is thus a geographical and cultural mosaic: 180 employees, 7 cities, 6 countries, 5 languages, 4 currencies.


GENERAL MISSION
As a Payroll & Admin Officer you are responsible for payroll management across all countries of the region.

You work closely with the external payroll providers and are the main point of contact for all stakeholders with regards to payroll and administration.


As the region's specialist in terms of compensation and benefits you support the teams with in all aspects of special payroll situations such as holidays, long-term absences (maternity, paternity, sickness etc).


You will be in charge of all payroll and admin related systems (internal and external) and are the main contact for questions regarding MyClickH, our HR Information system.


In this role you onboard every newcomer to ensure they understand administrative and compensation aspects when they start at Hermès Benelux-Nordics.


MAIN RESPONSIBILITIES

PAYROLL & ADDITIONAL BENEFITS

  • Prepare, check & process payroll for all employees of the region in cooperation with external payroll providers
  • Manage time/presence software according to each country's legislation
  • Manage payrollrelated benefits (meal vouchers, transport costs, exit payments,...)
  • Update and control payroll systems where applicable
  • Partner with the Compensation & Benefits Manager on payroll reconciliations, provisioning of payroll costs etc
  • Manage daytoday aspects of benefit schemes across the region (insurances, share schemes.)
  • Be first point of contact for employees about basic employment law issues (overtime, sick leave.)
  • With the Compensation & Benefits Manager, handle queries from external agencies, eg tax & social security authorities or auditors

ADMINISTRATION

  • Prepare employee contracts and other administrative documents
  • Maintain employee files to audit standards at all times
  • Administer longterm absences towards authorities
  • Update and control HRIS

REPORTING

  • Monthly and yearly HR reporting
  • Contribution to HR analytics (absenteeism, turnover etc)

OTHER

  • Participation in other HR Projects and ad hoc requests

PROFILE

  • 3 to 4 years experience in a payroll position
  • You have a bachelor or master degree in HR and a strong experience in managing Belgian payroll
  • Additional experience in payroll management of the Netherlands/Luxembourg or a Scandinavian country is a plus
  • You have excellent knowledge of MS Office (especially Excel)
  • First experience with an HRIS (ideally Oracle) is a plus
  • You have an analytical mind combined with a strong service mindset and a curiosity to learn
  • You are able to set priorities and work in a multitask environment
  • You are accurate, able to set priorities and know how to communicate the « hard HR issues » with a « soft HR approach »
  • You have a strong team player mindset and enjoy collective success
  • You are fluent in French, Dutch and very good English
  • You have a sense of humour
