    Omschrijving:

    • Manage reception: welcome guests, handle daily deliveries, phone calls, and general inboxes for MCI and logos
    • Answer main phone line for the four brands, MCI Benelux, logos, BBE, and Ovation
    • Distribute and/or store correspondence like letters, emails, and package deliveries
    • Maintain cleanliness and readiness of corporate meeting rooms on level +3

    OFFICE OPERATIONS

    • Coordinate travel arrangements including online reservations, payments using company credit cards, and recording CO2 data in TRAACE software for group reporting with Finance
    • Assist in organizing in-office client meetings for MCI Group Brussels
    • Help with internal monthly events and meetings for MCI Group Brussels, both in-office and offsite
    • Optimize stock inventory for MCI Group Brussels based on internal events, client meetings, and in line with EMAS certification and CSR policy
    • Manage various office suppliers such as Proximus/Colt, iRiS, Lyreco, KONICA, GRÖHE, Javri, BIOCENO, etc.
    • Coordinate with the Finance Team for supplier invoices and payments allocation
    • Assist staff in booking restaurants for client dinners and gathering administrative documents for pitches and tenders

    Profiel

    • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
    • Familiarity with Office Administrator responsibilities, systems, and procedures
    • Proficiency in MS Office tools, especially MS Excel and MS Outlook, and email scheduling applications
    • Strong time management, multitasking, and prioritization abilities
    • Excellent English and French communication skills
    • Strong organizational and planning skills in a fast-paced setting
    • Attention to detail and problem-solving capabilities
    • Creative thinking for suggesting improvements
    • High School diploma with additional qualifications as an Administrative Assistant or Secretary as a plus
    • Hands-on experience with office equipment like printers and coffee machines
